THE OPPORTUNITY:

Reporting to the Senior Stewardship Officer, the Stewardship Coordinator is a key member of the Major Gifts, Planned Giving and Donor Stewardship team. The role supports HSN Foundation’s donor stewardship and recognition program by assisting with initiatives that celebrate philanthropic impact, recognize donor generosity and create meaningful opportunities for donors to see and experience the difference their support makes.

ACCOUNTABILITIES:

• Maintain and update stewardship and recognition projects in tracking systems and databases, monitoring timelines, deliverables and next steps to ensure information remains current, accurate and well organized.

• Support the coordination of annual stewardship plans and schedules, proactively identifying upcoming deliverables, deadlines and information requirements and assisting with projects through completion.

• Assist with the development of donor impact reports, updates and stewardship materials by gathering program statistics, outcomes, stories, project updates and other information from Foundation and HSN partners.

• Support the implementation of established donor recognition projects, including signage, plaques, donor walls and other physical or digital recognition, coordinating approved requirements with internal teams and external vendors.

• Receive, respond to and direct stewardship and recognition inquiries, maintaining appropriate documentation and tracking to support timely follow-up and resolution.

• Assist with the planning and delivery of donor stewardship and engagement activities, including recognition events, hospital tours, donor visits, presentations and milestone celebrations, providing support with invitations, guest coordination, materials, logistics and on-site execution.

• Support the preparation and coordination of donor communications, acknowledgments, recognition materials and other stewardship content that celebrates generosity, demonstrates philanthropic impact and fulfills established donor commitments.

• Maintain accurate and organized stewardship records and documentation, including donor recognition information, project updates, completed activities and supporting materials within established systems and processes.

• Work collaboratively with Foundation colleagues, HSN departments, clinical teams and external partners to gather information, coordinate deliverables and support stewardship and recognition activities.

• Provide administrative, project and cross-functional support to the Major Gifts, Planned Giving and Donor Stewardship team and broader Foundation initiatives and priorities, as required.

 

OTHER DUTIES AS REQUIRED:

  • Some evening and weekend work may be required.

 

ESSENTIAL QUALIFICATIONS:

We understand that no single candidate will meet every qualification listed. However, the following outlines the key qualifications we value for this position, whether candidates bring them upon application or develop them while in the role:

 

  • Minimum three years of experience supporting and coordinating multi-faceted projects; experience in a development, fundraising or non-profit environment is considered an asset.
  • Demonstrated ability to coordinate and execute projects, processes and deliverables from established plans and priorities.
  • Strong interpersonal and collaboration skills, with the ability to work effectively across teams and with a variety of stakeholders.
  • Experience with project management and performance measurement skills; 
  • Demonstrated ability to build relationships with donors, volunteers, and other key stakeholders; 
  • Ability to work in a fast-paced environment, prioritize and multi-task; 
  • Demonstrated initiative and ability to work independently while seeking direction and guidance when appropriate.
  • Strong written and verbal communication skills.
  • Experience with CRM databases, an asset, Raiser’s Edge (NXT).

 

OTHER QUALIFICATIONS:

  • Passionate relationship builder with exceptional written and oral communication skills;
  • Tact, diplomacy, and maturity in dealing with donors, volunteers, hospital staff, vendors and the general public;
  • Ability to think strategically, plan and prioritize, and work proactively to meet deadlines;
  • Team player and go-getter; always maintains a positive attitude.

 

OPERATIONAL REQUIREMENTS:

  • Driver’s license and access to a vehicle is required for the role (or the willingness and ability to travel efficiently via public transportation for offsite donor commitments);
  • Willingness and ability to work outside of regular business hours are required.

 

The successful candidate will be required to obtain a current Police Criminal Record Check.

HIRING SALARY RANGE:  The salary range for this position is $48,000 – $53,000. To ensure fair and equitable pay at Health Sciences North Foundation, placement on the salary range will be based on your years of experience, skills, and qualifications relevant to the position.
